Learn how to add, edit, and remove team members in ShopTasks. Understand staff limits by plan and configure default task assignment.

Managing Your Team

ShopTasks makes it easy to add your team members so you can assign tasks, share boards, and collaborate on store operations. This guide covers everything from adding your first staff member to managing roles.

Adding a Team Member

  1. Go to Settings from the sidebar.
  2. Scroll to the Team members section.
  3. Click Add member.
  4. Enter the team member's name, email, and optionally their position (e.g. Fulfillment Lead, Support Manager).
  5. Click Save to add them.

Once added, this person will appear in the assignee dropdown whenever you create or edit a task.

Editing Team Members

Click on any team member in the Settings list to update their name, email, or position. Changes are reflected immediately across all tasks and boards.

Removing Team Members

To remove a team member, click the Remove button next to their name. Tasks currently assigned to them will remain assigned — you may want to reassign those first.

Staff Limits by Plan

The number of team members you can add depends on your plan:

If you've reached your plan's staff limit, you'll need to upgrade to add more people.

Default Task Assignment

By default, new tasks are created as unassigned. If you'd prefer that every task is automatically assigned to the shop owner, you can change this in Settings > Default task assignment.

This is useful for solo store owners who want every task to land on their plate without manually selecting an assignee each time.

Tips

  • Keep profiles up to date. Accurate names and emails ensure notifications reach the right people.
  • Use positions to quickly identify who does what when assigning tasks.
  • Review your team regularly. Remove departed staff so they don't clutter the assignee list.
  • Pair with board teams. In board settings, you can restrict a board to specific team members so only relevant people see the work.
